How to get a customer case study without scheduling a call
Last updated: October 25, 2026
Most teams know a case study is worth having, yet it never gets written. The hard part usually isn't the writing: setting up a 45-minute call with the customer, preparing for it and turning the recording into notes takes weeks. This post covers a way to skip the call entirely: an interview link your customer answers on their phone, in their own time.
The call is usually what holds things up
A happy customer says "sure, happy to help". Then someone looks for a free hour in two calendars, the meeting gets moved once, the call happens and the recording sits in a folder. The moment the customer was most willing, while the project was still fresh, slips away during the wait.
It isn't easier for the customer either: an hour-long call is a big ask for a busy manager. Answering the same questions in five or ten minutes, whenever it suits them, is a smaller one.
How an interview by link works
You send your customer a single link. When they open it, an AI interviewer asks the questions one at a time:
- The customer answers by typing or by voice, and can pause and pick up where they left off from the same link.
- You choose the number of questions: 3, 5 (the default) or 7. The default flow covers the problem, the solution and the result.
- If an answer stays vague, the interviewer politely asks for a concrete example or figure in the next question; it doesn't push someone who'd rather not answer.
- The interview can run in Turkish, English, German, French, Spanish or Portuguese, so the customer speaks their own language.
When the interview ends, the answers become a draft story with Situation, Goal, Solution and Result sections. You edit the draft and, if you like, send it to your customer for approval. We cover the approval step in a separate post.
When and how to send the link
- After results are visible: the first concrete win, a renewal or a moment when the customer thanked you are all good times.
- Person to person: send the link with a short note from whoever already talks to the customer, not as a bulk campaign email.
- Say up front how long it takes and where it will be used. Uncertainty lowers the response rate.
Hi {Name},
We'd like to share the work we did together with {Product} with companies like yours. So you don't need to book a meeting, I've prepared a link with {Number} short questions you can answer whenever it suits you:
{Link}
You can type or speak your answers. I'll show you the text before anything is published, and it won't be used anywhere without your approval.
Thanks,
{Your name}What if there's no reply?
One reminder is usually enough; more than two starts to annoy people. That's why CaseMagnet AI sends at most two reminders for the same interview, leaves at least 12 hours between emails and puts a "don't send again" link in every one.
If you already have notes or a transcript from a call with the customer, you don't need to wait for an interview at all: paste the notes and get a draft with the same structure.
